Job Responsibilities
Operational Management:
- Supervise and manage a team of ship agents and administrative staff in all relevant areas, including recruitment, training, and performance evaluation.
- Develop and implement standard operating procedures (SOPs) for ship agency operations to ensure compliance with local regulations, industry practice and company policies.
- Monitor and optimize operational processes to enhance efficiency and productivity.
- Coordinate with other departments within the organization, such as finance, sales, and customer service, to ensure seamless service delivery.
Client Relationship Management:
- Serve as the primary point of contact for key clients and stakeholders, building and maintaining strong relationships.
- Understand client requirements and expectations and ensure that services are delivered in accordance with agreed-upon terms and service level agreements (SLAs).
- Proactively address clients, service providers and other stakeholder inquiries, queries, concerns, and feedback, and work to resolve issues in a timely manner.
Port Operations Coordination:
- Liaise with port authorities, terminal operators, customs officials, and other relevant parties to coordinate and pre plan vessel arrivals, departures, and port services.
- Ensure compliance with port regulations, security protocols, and safety standards.
- Monitor port operations and provide updates to clients regarding vessel schedules, berth allocations, and port conditions.
Financial Management:
- Oversee all financial aspects of ship agency operations, including budgeting, cost control, prefunding, outstandings and revenue generation.
- Review and approve invoices, billing statements, and financial reports.
- Identify opportunities for cost savings and revenue growth within the ship agency business.
Risk Management and Compliance:
- Identify and mitigate operational risks related to ship agency activities, such as safety hazards, regulatory non-compliance, and financial liabilities.
- Ensure adherence to industry regulations, international conventions, and company policies.
- Implement measures to promote a culture of safety, security, and environmental stewardship.
Other Requirements
- Bachelor's degree in maritime studies, logistics, business administration, or a related field. Master's degree or professional certifications (e.g., Chartered Shipbroker, Certified Port Executive) may be advantageous.
- At least 8 years of experience in ship agency operations, with a proven track record of progressively responsible roles.
- Specific experience within operating tramp vessel calls for both dry/wet cargoes, offshore agency work and liner business.
- Strong network within the local maritime ecosystem including, Customs and other local regulatory bodies
- Sound knowledge of local maritime regulatory environment, maritime industry practices, port operations, shipping regulations, and international trade.
- Strong understanding of the players within the Ship Agency business including customers and competitors.
- Analytical mindset with the ability to problem-solve and make data-driven decisions.
