Job Description

Warehouse Officer will be responsible for coordinating storage, monitoring stock and adhering to the stock management systems with the view of increasing efficiency and minimizing cost.

Key Duties and Responsibilities:

  • Determine re-order points and maximum stock levels in conjunction with users.
  • Monitor stock usage of all materials and notify user/ procurement when stock balances run low.
  • Daily update of the stock items tracker to aid monitoring of the stock levels.
  • Daily monitoring of finished goods transfer process from production and ensuring that accompanying transfer records tally with the physical goods transferred.
  • Timely completion of finished goods transfer forms and verification of finished goods before entering in stores and into the SAP system.
  • Regular stock reconciliation to ensure that all the anomalies are dealt with.
  • Ensuring store records following receipt, returns and issue of items are duly and timely captured in the SAP system.
  • Timely and accurate counting of goods/products or materials while offloading and loading to ensure
  • that right quantities have been delivered or dispatched.
  • Timely offloading of materials and products.
  • Timely and accurate report on dispatched products.
  • Daily and accurate capture of all products and materials entering store.
  • Optimize the stacking of items to effectively use the available storage space.
  • Maintaining clear walkways in store to facilitate easy movement and location of items within the management system.
  • Monitor inventory and damaged stock sorted for grinding following management approval.
  • Ensure Production assistants attached to stores meet their daily targets of arranging, organizing and cleaning stores.
  • Physical supervision to ensure daily cleaning of stores.
  • Ensure that for all products dispatched from stores for sale should have corresponding LPO from the customer.
  • Continuous follow up with the customer to ensure more orders are obtained and also to collect feedback.
  • Ensuring that feedback obtained from the customer is fully acted upon and well documented.
  • Ensure timely delivery of customer orders.
  • Ensure proper tracking of customer LPO’s and earlier communication made to them in case one is exhausted.
  • Proactively support in sale of finished products to our customer and ensure that the sales target is met
  • Perform any other duties as assigned to you by your supervisor.

Financial Management

  • Monitor and ensure zero waste across the different manufacturing processes.

Risk Management

  • Identify the department’s risks, their various mitigations and keep track of them.

Compliance

  • Ensure regulatory compliance regarding product certification.
  • Adherence to all SPS Policies and Procedures.

Qualifications, Skills andExperience:

    • UDBS or higher Diploma in Accounting/ Finance or Business studies, Procurement and Logistics Management or Supply Chain  Management.
    • Minimum of 2 years employment experience preferably in a manufacturing setting.

Physical Requirements and Environmental Conditions

  • Frequency of travel: Occasional travel is required for meetings; location may vary and may require overnight stays.
  • Light physical activities and efforts required working in an office environment.
